Salary:  $50,000 to $60,000, depending on experience. 

Hours:  7:30 a.m. to 4:00 p.m.

Education:  High school diploma or equivalent; associate or bachelor’s degree in accounting, finance, or related field preferred.

 

Experience:  Previous experience in accounting, finance, career training or related job experience, preferably in audit and/or a school district or educational setting.

 

Skills:  Proficient with computers and a working knowledge of Microsoft Office. 

 

Excellent attention to detail and accuracy in data entry and record-keeping.  Effective communication skills, both verbal and written.  Ability to work independently and as part of a team in a fast-paced environment.  Knowledge of Oklahoma school laws, regulations and procedures related to school finance is a plus.  Maintaining high levels of confidentiality is essential.

 

PRIMARY FUNCTION:  Primary responsibility is to assist in the financial management of the school district by overseeing encumbrances, budget allocations, and financial transactions.  This position works closely with Autry Tech employees and vendors to ensure accurate recording and tracking of financial obligations.  Attention to detail, organizational skills, and knowledge of accounting principles are essential for success in this role.

MAJOR DUTIES & RESPONSIBILITIES:        

  1. Serve as Encumbrance Clerk. Process and monitor encumbrances, ensuring that all commitments are accurately recorded and tracked within established budgetary guidelines.  Perform other duties as the Board of Education or its committees may require.
  2. Submit register of encumbrances to Chief Financial Officer for Board of Education approval. Prepare claims for board approval at the regular monthly meetings and make payment of such claims.
  3. Be familiar with the school laws of Oklahoma, making sure each expenditure of funds is legal and reasonable.
  4. Coordinate the purchase of all goods and services in compliance with the purchasing policy of the Board of Education and the laws of the State of Oklahoma.
  5. Review accounts payable invoices to purchase orders and payment entry to accounting software prior to payment to ensure accuracy.
  6. Responsible for correspondence related to purchasing activities.
  7. Responsible for vendor maintenance.
  8. Responsible for 1099s.
  9. Required to execute a surety bond in compliance with school laws of Oklahoma.
  10. Assist in the allocation of funds to various departments and programs based on budgetary priorities and resource availability.
  11. Maintain accurate and organized records of financial transactions, contracts, and correspondence to support auditing and reporting requirements.
  12. Provide training and support to school staff on encumbrance procedures and financial software systems as needed.
  13. Assist with monthly payroll. Prepare payroll calculations, distribution, payroll taxes, and related reports.
  14. Responsible for W-2s and 1095-Cs.
  15. Prepare reports as requested by the Superintendent, Chief Financial Officer, and Autry Technology Center Board of Education.
  16. Collaborate with other members of the finance department, leadership team, and staff to support overall financial planning and Autry Technology goals.
  17. Serve as Assistant Custodian of the Activity Fund.
  1. Work cooperatively with instructors, administrators, and staff.
  2. Ensure compliance with the policies and procedures of the Autry Technology Center Board of Education, Oklahoma school law and accounting regulations.
  3. Perform other duties as assigned.
